Event administration
The events industry contains a vast amount of administrative work due to the large number of components which make up an event, some examples of these components are: equipment, music performers, vendors, etc. this work must be done promptly and efficiently in order for the event to be executed properly.
As you should have noticed, the administrative work is essential for the proper functioning of the business and execution of event and therefore and event administrator should do the following when planning the event:
• They should prepare the necessary budgets and provide progress reports to the directing staff of each event.
• Maintain a register of all cheque request, invoice and report such to management.

Budgeting
To start off the project, the client will give you a budget which you may not exceed. No matter how little or much the client states, it will still be rather difficult to stick to the budget and client’s expectation.
Clients may however over-budget which will work in your favour as there will be a larger variety of ways in which that budgeted amount can be utilised.
If you are provided with a limited budget, you as an event manager must point the client in the direction which will still meet the client’s expectation. You must make the right decisions and select the best venues and vendors which will still fall within the budget. A cushion should be determined within the budget to combat any price fluctuations which could occur in the economy. Ultimately, a lot more research is required in order to make such decisions and selections.
Selecting the best venue
There are two ways a venue can be selected, either you or the client will make the selection.
If you are to make the selection, detailed research and physical site visits must be done so you can select the right venue which the client will appreciate and will still fall within the budgeted amount. This is challenging as there will always be a large variety of venue to decide on as well as the fact that the venues my not fit the client’s criteria.
If the client were to select a venue, in-depth research must be done by you in order to determine whether the project can actually be executed effectively at this venue, and if not, a dispute may arise. This could be a challenging as their selection is considered to be a subjective matter and consequently the client may have really liked the look and feel of the venue.
Therefore, trying to get the client to change their mind on their selection could be rather difficult because the client would have already wanted their event to take place at this specific venue. To combat a situation like this, you and the client would have to weigh up all the options and from there make a selection together.
